Job Description:

Management/ Administrative Assistant

Purpose:
The personnel will support the CDC Emergency Operations Center (EOC) and their response to Public Health Emergencies. The Procurement and Grants Office (PGO) of the Centers for Disease Control and Prevention (CDC), is seeking services to provide Administrative Assistant support to the Division of Emergency Operations (DEO) and the EOC.

Scope:
Provide comprehensive administrative and management advice and assistance to the EOC Operations staff and assists to resolve critical matters, questions, problems, and issues. Utilize a wide range of Administrative Assistant support functions and qualitative and/or quantitative methods to identify and evaluate information, data requirements, and resources in order to improve administrative process for Public Health Emergency Response and to respond to internal and external demands. Analyzes, drafts, and prepares a wide variety of briefings, presentations and responses to inquiries from CDC, HHS, and other leadership on staffing activities.

Specific Tasks:
o Coordinate a variety of weekly meetings for operations teams which includes updating meeting agenda, scheduling logistics and recording and distributing meeting minutes
o Update response information in customer spreadsheets in SharePoint
o Maintains program databases, files, and records; and coordinates and executes Records Management. Answers and triages phone calls (and incoming faxes and emails). Drafts brief letters and memos after receiving general instructions. Files correspondence, reports, records, publications, regulations, and directives
o Update executive level briefings in PowerPoint
o Maintains the Branch calendars and provides preparation, planning, and coordination of meetings: scheduling conferences, teleconferences, meetings, and seminars. Arranges room reservations, coordinates bridge lines, schedule development, logistical needs, handouts, coordinates dates, sends the team invites, and follows up on all preparations to ensure successful meetings. Prepares meeting minutes.
o Coordinates travel to include - prepare travel arrangement, the order and voucher including domestic and international. Enters team travel requests and vouchers into the Federal Travel System: Concur Government Edition (CGE) and maintains tracking of travel expenses. Assists in Emergency Travel coordination and preparation.
o Manages team supplies, storage, and distribution. Maintains office equipment (monitors equipment/request, routine service/maintenance of copy machines, fax machines, printers, etc.) to include ordering routine office supplies and ordering books/publications
o Provides complete and efficient support to the Branch and other staff working in the EOC during an event to assure the adequate functioning of the Branch office and anticipates needs and resolutions. Assist the operations response team with a wide variety of ad hoc and time sensitive administrative activities

Required Skills
o Resumes should detail relevant experience and training as it aligns to the tasks stated above.
o Must demonstrate in resume any experience with administrative support to Public Health Emergency Response and administrative coordination.
o Strong communication and interpersonal skills, strong organization skills and excellent experience with Word, Excel, Outlook, PowerPoint.
o Must be able to work over-time occasionally, if required.
o Must be able to work with minimal guidance and supervision.

Desired Skills
***Strongly desire someone who has previous experience with the Centers for Disease Control processes and their administrative processes and is currently credentialed for access to CDC and their network.
